WRITING LETTERS

Sometimes we might not book a job after giving an estimate and providing all appropriate information and sales material to a prospective customer. Writing letters to these potential prospects may help make the sale. You don’t have to be a wordsmith to write a clear and effective letter.

Here are a few suggestions:

Start your letter with an attention grabbing opening. One or two short sentences that will make your reader keep reading. For example and presuming you already know the area(s) to be cleaned: We will apply carpet protector to all cleaned carpeting at no additional charge. This is a (insert an amount) value. Our carpet protector will enhance the appearance of your carpeting, it will help prevent stains and it will extend the life of your carpeting.

State any qualifiers as briefly as possible: “This offer is valid 30 days from the date of this letter”.

Stir their interest in your Company: “Clean carpets will greatly improve the “IAQ” Indoor Air Quality of your business.”

Ask for action: “Please call today with any further questions or to book your cleaning.”

Keep your paragraphs short, they will be easier to read. Keep it friendly and be specific.

You should have someone proofread the letter for you. Or if you have someone else write the letter, be sure to proof it before it goes out. A letter with mistakes will lessen your chance of booking the job.

The Dangers of Fossil Fuel Powered Carpet Cleaning Equipment

Photographs such as the one to the right are submitted to Bane-Clene® regularly by concerned and interested parties around the nation.

The first gasoline driven truck mounts were introduced in the early 1970s. There has been a constant flow of this type of equipment ever since. LP gas, kerosene, gasoline and fuel oil heating devices add to the danger. Some equipment requires the truck to operate at high speed while it is in is heated in use posing the danger of fire caused by an overheated catalytic converter.

In many instances, water is heated in a range that turns it into live steam. Pressure pumps force the super-heated water through aging hoses at pressures from 400 to 2,600 PSI (pounds per square inch). The danger of a broken hose is a serious threat to anyone within range of the spraying hot water .

Badly worn truck engines smoke and emit fumes when they are operating at moderate RPMs. Small gasoline, diesel and LP driven engines that operate at high speed drive equipment in many of the slide-in variety of truck mounts. As this equipment ages, the dangers of leaking LP tanks, loose fittings on gasoline lines and worn parts - all point to dangerous scenarios which could cause the loss of life and limb.

In another episode in the saga of carbon monoxide poisoning of carpet cleaners and innocent bystanders occurred in Pottstown, Pennsylvania when a direct-drive carpet cleaning unit was parked near a residence. The engine of the van was left running to operate the cleaning equipment. A basement door was ajar to allow the hoses to enter the house, and the carbon monoxide fumes apparently entered, too. Two employees and a resident of the home rushed to the hospital became dizzy and disoriented. The employees remained in the hospital, while the others were released after treatment. In an incident in Evansville, Indiana, 225 guests had been evacuated from an hotel and treated for carbon monoxide poisoning. A cleaning firm had parked a truck in a loading bay at the hotel. Fumes from the operating equipment entered the building’s air system.

These types of accidents and dangers cannot happen with electrically-operated Bane-Clene truckmounted carpet cleaning equipment. Electricity is the cheapest, most dependable form of energy. It’s safe - not dangerous like so many of the stored fuels. Bane-Clene truck-mount carpet cleaning equipment may be operated in a closed building without the danger of carbon monoxide poisoning. SOMETIMES, WE DON’T KNOW THE ANSWER

Sometimes we have the mistaken impression that we cannot admit that we don’t know the answer.

Certainly, it is important to have as much knowledge of everything in the Carpet Cleaning Industry. However, there are times when we don’t know the answer. No one can possibly know everything. That may seem like a problem, but the real problem is not admitting that we don’t know the answer. Worse yet is pretending you know the answer and possibly giving the wrong answer or advice to your customers. If they find out you were wrong, they will think less of you than if you had admitted you didn’t know in the first place.

If the question is beyond your knowledge, then admit it. Let your customer know you will find out the answer and get back with them promptly. Whatever you do, don’t guess. Even if chances are that you are right, you can’t afford to be wrong. Engage with sources of information that you can trust to be accurate, then give your customer the correct answer.

It may be embarrassing to admit you don’t know something but it will be more embarrassing if you prove to be wrong. No one expects you to be infallible or to know everything.

We all need help or answers from time to time. When you need it, ask for it.

What is bleach and how is it used?

Most people, when they hear the word “bleach” automatically visualize a gallon jug of Clorox® chlorine bleach. My dictionary says that bleach is anything that removes color. There are actually two primary ways of removing color - oxidizing and reducing.

An oxidizing bleach is a chemical that gains electrons and causes the oxidation of another substance. That is, an oxidizing bleach removes color by adding oxygen (or chlorine) to a dye structure, or even destroys the dye molecule by splitting it apart. The ultimate form of oxidation is burning - where the substance is totally destroyed by high temperatures and oxygen! Examples of oxidizing bleaches are hydrogen peroxide, chlorine bleach (sodium hypochlorite), sodium perborate, sodium persulfate and sodium percarbonate. Even ozone and medications such as some acne medicines containing benzoyl peroxide are oxidizing bleaches. Stain 1 Stain Remover and the two-part Stain Magic® also contain hydrogen peroxide oxidizing bleach as one of its components.

Hydrogen peroxide is a clear, self-neutralizing, unstable oxidizing bleach that should be stored in a dark, cool place, in a dark colored bottle and kept no more than 6 months. When using hydrogen peroxide, such as whitening grayed rug fringes, start with the 3% strength found in most drug stores. Do not leave on stain more than 30 minutes and follow with wet extraction to ensure complete removal to prevent residual bleaching. In some cases, 3% hydrogen peroxide can be left on the stain on nylon carpet overnight without rinsing, but some risk is involved. Hydrogen peroxide oxidation can be accelerated by an alkali (pH over 7), by heat (very risky) or simply by sunlight. Hydrogen peroxide simply breaks down to water and oxygen as it dries, leaving no residue.

Pretest in an inconspicuous area for bleaching or discoloration of the carpet or rug dyes. Get a signed release because the carpet dyes may be irreversibly bleached out or changed. Attempt only on light colors. Use on wool VERY carefully. 3% hydrogen peroxide is excellent for whitening cotton fringes on oriental design rugs.

The 40-volume clear hydrogen peroxide from the beauty supply house (usually labeled “40 Volume Clear Developer”) is 12% strength. The 30% hydrogen peroxide from chemical suppliers is 100 volume. “Volume” is not the same as “per-cent”!

Oxidizing bleaches are excellent against stains from mildew, furniture, ink, coffee, cellulosic browning, urine and feces.

Chlorine bleach should only be used on solution dyed fibers. On 100% olefin carpet, it may be used undiluted, but should be rinsed out after use. On solution dyed nylon, it should be diluted to at least 1 part bleach to 4 parts water before use. Chlorine bleach will damage even solution-dyed nylon fibers and should only be used when nothing else works! ALWAYS extract out chlorine bleach after use. Be sure there is no bleach on your shoes, hoses, etc. where it might get on other carpet or furniture. NEVER mix chlorine bleach with any other chemicals. Household chlorine bleach is about 5.25% sodium hypochlorite with a pH of about 12! Chlorine bleach, even dry, can still be reactivated with water and its residue is caustic soda. Chlorine bleach dissolves wool and severely weakens cotton. NEVER bring a bottle of chlorine bleach into a house!

A reducing bleach is a chemical that loses electrons and removes oxygen from a compound. Reducing bleaches are sometimes called strippers or stripping agents. Examples of reducing bleaches are sodium thiosulfate (photographer’s hypo), titanium stripper, sodium bisulfite and sodium hydrosulfite. Rit® Color Remover, Streepene®, CloroX Bleach Neutralizer, Red 1® Stain Remover and the two-part product Red Relief® contain reducing bleaches. Sodium bisulfite is a weak reducing bleach; sodium hydrosulfite is a very strong reducing bleach. Sodium bisulfite is a common ingredient in Haitian cotton shampoos. Reducing bleaches are accelerated by heat and by acid.

Reducing bleaches are especially effective against grape juice, Kool-Aid®, wine, iodine and Betadine®. Reducing bleaches also act as “anti-chlors” - neutralizing oxidizing bleaches such as chlorine bleach. CloroX Bleach Neutralize by Pro's Choice is an anti-chlor formulated to neutralize chlorine bleach on carpet.

To use Rit Color Remover, dissolve 2 ounces of the reducing bleach in VERY hot water, cover the stain with a white turkish towel, pour the solution on the towel, remove the towel after about 10 minutes, thoroughly extract and dry blot. Repeat if needed. Rit Color Remover is commonly sold in discount stores in the laundry area. Its primary active ingredient is sodium hydrosulfite. NOTE: Because this is a powder, protect it from moisture and spills. Of course, Red Relief and Red 1 are more powerful.

The biggest drawback to reducing bleaches is that the oxygen in air alone may re-oxidize the stain and it will reappear - after all, the stain was simply made colorless, not actually removed or destroyed!

Do you have a healthy mental attitude? People who do display the following characteristics.

  1. A tolerant attitude toward themselves and others and a tendency to accept rather than criticize. This is very important when interacting with your employees.
  2. A realistic estimate of their abilities plus a determination to make the most of them. By making the most of your abilities, you will help your employees improve their abilities.
  3. You have self respect and pride in accomplishment. These are tremendous characteristics to instill in others.
  4. The ability to take disappointments and set backs in stride. As a business owner, you can’t let these effect your ultimate goal.
  5. The ability to respect others and a sense of responsibility toward them. By making your employees feel important, you will gain their respect.
  6. A tendency to face problems as they arise. If you wait too long to deal with a problem, then what was a small problem can become a bigger issue.
  7. The habit of putting your best effort into whatever you do. By doing this, you set a good example for your employees.

If you feel that the majority, if not all of these tendencies come easy to you, then you are well adjusted and have the inner strengths and desires to be successful.

Boosters are carpet cleaning detergent additives that provide extra cleaning power when needed for tougher, more challenging cleaning jobs.

Detergent booster additives for carpet cleaning typically contain solvents, oxidizers, surfactants, water softeners, bacteria/enzymes and/or alkalinity/pH elevators. They are designed to improve the soil and stain removal, buffering and water softening performance of detergents.

TRADE JARGON

Every business has its trade jargon; it is words and expressions that are handy, meaningful and convenient. But they are only that way to people in that business.

The trouble with trade jargon is that we may fully understand it but our prospective customer may not. While using trade talk is important, you don’t want to overuse it. You may want to either write down or tape your presentation and review it. After you review your presentation, ask yourself, “if you were not in the carpet cleaning business would you fully understand what you had just said”?

How many times have you had someone presenting a product or service to you and you didn’t understand everything they were saying? Don’t you wish they had spoken plain English? You certainly want to inject into your presentation words and phrases that are relative but you don’t want to talk over your prospect’s head.

Enhance your presentation with relevant and practical words and phrases that properly describe the features and benefits of your service and how they may relate to their industry. Also, if practical, discuss parallels to their business and yours. This way you would be talking your customer’s language which make your points more forceful and interesting.

Buying is as much an emotional act as it is a logical one, sometimes more so. If you can interject trade jargon they understand and can relate to, then the greater your chance of creating a favorable emotional background that will help close the sale.
